Understanding the Billing System

At Coast IT, we strive to make billing and payments as straightforward as possible. Our billing system, accessible through the Client Zone, provides you with all the tools you need to manage your invoices, track payments, and stay on top of your account balance. Here’s an overview of how our billing system works and what you can expect.

Billing Cycles and Invoices

Our services operate on various billing cycles depending on the nature of the service. Some services, like website hosting, may be billed monthly, while others, such as software development or one-time projects, may be billed on a project basis.

  1. Monthly Services
    For services with a recurring monthly fee, invoices are generated at the start of each billing cycle. You’ll receive a notification when a new invoice is issued.
  2. Project-Based Billing
    For one-time or project-based services, invoices are generated at agreed-upon milestones or upon project completion.
  3. Annual or Semi-Annual Billing
    For select services, you may have the option to choose annual or semi-annual billing, which often includes a discount.

Accessing and Managing Invoices

  1. Viewing Invoices
    Log in to the Client Zone and navigate to the Billing section to view all your invoices. Here, you can see both current and past invoices, including details like the invoice date, due date, and status.
  2. Downloading and Printing Invoices
    Each invoice can be downloaded as a PDF for your records. This is especially helpful for clients who need hard copies for accounting purposes.
  3. Payment History
    You can view your entire payment history in the Billing section, allowing you to keep track of all completed and outstanding payments.

Payment Methods

We offer multiple payment methods to make transactions convenient for our clients:

  • Credit/Debit Cards – Fast, secure payments for instant processing.
  • Bank Transfer – Details are provided on the invoice for clients who prefer direct bank transfers.
  • Online Payment Platforms – Available options are shown in the Client Zone based on your location.

To update or add a payment method, go to the Billing section in the Client Zone and select Payment Methods. This ensures you always have a preferred and up-to-date payment option.

Automatic Payments

For convenience, you can set up automatic payments in the Client Zone. With this feature enabled, your payment method on file will be charged automatically when an invoice is due, ensuring that you never miss a payment deadline and maintain uninterrupted service.

Managing Past Due Invoices

If an invoice is overdue, it will be marked as Past Due in the Billing section. Coast IT may send reminders to help you stay on track with payments. To avoid late fees or service interruptions, we recommend addressing past due invoices as soon as possible. If you’re experiencing financial difficulties or have questions about your invoice, please reach out to our support team for assistance.

Receiving Notifications and Reminders

In the Client Zone, you can customize your notification preferences to receive alerts for upcoming invoices, due dates, and overdue reminders. Notifications can be sent via email, ensuring that you stay informed about all billing activities.

Disputing a Charge

If you believe there is an error with any of your charges, you can submit a billing dispute by opening a support ticket in the Client Zone. Our billing team will review the issue, provide clarification, and make adjustments if necessary. We recommend reviewing invoices promptly to ensure any discrepancies are resolved quickly.

Refunds and Cancellations

Our refund and cancellation policies vary by service type. If you need to cancel a service or request a refund, please review our specific Refund and Cancellation Policy in the Client Zone or reach out to support for further guidance.
